Why bank reconciliation matters (and how to automate it)
Bank reconciliation is the process of checking that the transactions and balance in your accounting records match your bank statement. It sounds like a chore, and done by hand it can be one. It's also one of the simplest ways to keep your business finances accurate and safe, and with the right tools it no longer has to take hours. Here's why it matters and how to make it almost effortless.
Why it matters
Reconciling regularly catches errors such as duplicate entries, missing transactions and payments posted to the wrong account. It helps you spot fraud or unauthorised charges quickly, while there's still time to act. It confirms which customers have actually paid, so you don't chase someone who already settled, or miss someone who hasn't. And it gives you confidence that the profit and cash figures you base decisions on are real.
Our first proper reconciliation turned up a subscription we'd been paying twice for a year. It paid for the time many times over.
How to reconcile, step by step
Pick a period, usually a month, and get the bank statement for it. Match each transaction on the statement to an entry in your books. Add anything missing, such as bank fees or interest, and investigate anything that doesn't match. When you're done, the closing balance in your books should equal the statement balance, apart from timing differences like payments you've recorded that haven't cleared the bank yet. Do the same for credit cards and payment services.
Automating the routine
Modern accounting software removes most of the manual work. Bank feeds import transactions automatically, so you never have to key them in. Matching suggestions pair bank lines with invoices and bills you've already recorded. Rules handle repeat transactions, such as filing a monthly software subscription under the right expense account every time. What's left for you is reviewing exceptions rather than ticking off every line. Whether you reconcile weekly or monthly, consistency matters more than frequency.
Entirova connects to your bank feeds and suggests matches as transactions arrive, so reconciling can take minutes instead of hours.
