Bank feeds & reconciliation
Open in the demoMatch every line on your bank statement to what it was for, so your books agree with the bank.
Find it under Banking Bank accounts. You need to be an Owner, Admin or Manager to reconcile.
Your bank accounts
Each account card compares the statement balance with the balance in Entirova and explains any difference, usually lines not yet reconciled. Select Open on a card to go to the account, then Reconcile to work through its lines.
Already reconciled. Payments you record in Entirova (customer receipts, bill payments, reimbursements, wages) appear on the feed already reconciled. You only deal with lines Entirova doesn't know about yet.
Adding and changing a bank account
Select Add bank account on the Bank accounts page, or open an account and select Edit account in its Actions. You need the Manager level in Bank accounts.
- Opening balance: the statement balance on the day you start using Entirova, posted against Owner's Capital (3000). Enter it when you add the account, or later from Edit account if the account has none yet, such as the one Banking makes when it is installed. It can be given once; after that, change it with a journal.
- The company, currency and ledger account can't change once the account exists.
Reconciling a bank line
Select a line's description to open it in a side panel. The panel shows the line's date, account and amount, and what Entirova suggests it matches. Select Match (or Apply rule) beside a suggestion to reconcile it in one step, or Reconcile to open Reconcile bank line and choose one of these:
| Option | Use it for |
|---|---|
| Suggestions | Entirova's best guesses: a matching invoice or bill, or a bank rule that fits. Select Match or Apply rule. |
| Match to an open invoice or approved bill | A customer paying you or you paying a supplier. In the same currency you can part-pay; in a different currency the full balance is settled and the exchange difference booked. |
| Transfer between your accounts | Money moved between your own bank accounts. |
| Categorise | Anything else, such as bank fees or a card purchase. Choose the account, tax rate, contact and memo, then Categorise & reconcile. |
A line that is already reconciled opens in the same panel. It shows what the line was matched to, with links to the invoice or bill it paid and to its journal, and Undo reconciliation for a line you reconciled in this session. Every line of an account, reconciled or not, is on its Transactions page.
When categorising, tick Create a rule from this to have Entirova suggest the same treatment next time. See Bank rules.
Undoing
Undo reconciliation is available for lines you reconciled in this session, as long as the date isn't in a locked period.
Cash
Banking Cash shows one card for each cash account, in the same style as the bank accounts: how much cash is on hand, its float, and where it stands (what has been spent since the last top-up, or how the last count went). Select Open to go to the account.
- On the account's page: its figures, its details (who holds it, the float, the ledger account) and its Actions: Voucher for money paid out, Top up from a bank account, Count to count the notes and coins, Bank it for cash taken from customers, and Edit account.
- Cash book: every line of the account, newest first, with a running balance. Select a voucher or a line to open it in a side panel.
- Counts: every count, with what was counted, what the books said and any difference. A difference posts to 6760 Cash Over & Short.
Transfers
Open the account the money leaves, select Transfer money in its Actions, and enter where it goes, the amount, the date and a memo. A transfer between two of your companies posts through 1900 Intercompany balances. By default transfers of 3,000,000 or more need approval.
