Finding your way around

Open in the demo

The menu, the top bar and the dashboard.

Home

Entirova opens on Home, and the Entirova logo at the top of the menu takes you back there from anywhere. Home is deliberately plain:

  • A greeting with today's date.
  • One line when something is waiting for you, such as "3 approvals are waiting for you". Select it to open them. When nothing is waiting, the line isn't there.
  • Your apps, each as an icon with its name underneath, in the same order as the menu. Select one to open the app. You only see apps you have been given; if you have none yet, Home says so.

The three small buttons at the top right of Home change the size of the icons: small, medium or large. Your choice is kept in the browser you are using, like your Appearance settings, so it applies to you alone.

The menu

The menu on the left groups every page by category. The categories are the same as in the App Center, so an app's pages sit under the category the app is listed in there. Numbers next to an item show work waiting for you.

The menu has two levels. Each category has its own icon and opens to show its pages, which are set one step in along a thin line. Dashboard, App Center and any pages you pin sit at the very top with no heading. To keep Approvals at the top, open Productivity and pin it.

Lists and item pages

Entirova keeps each page to one thing. Sales works this way now, and the other areas are following.

  • A list page shows its key figures and one table. The top right holds only the Add, Export and Import buttons; anything else the page offers, such as Generate due invoices on Recurring, is in the More menu beside them.
  • A document (an invoice, a quote, a sales order, a recurring invoice) opens on the document itself, as the customer sees it. Beside it are a Summary card, one Actions card, and a small card for each other kind of information: Payments, Lines & stock, Invoices, Activity and Approval. A small card opens a page that shows only that, and the path at the top takes you back. The Approval card is highlighted while a decision is waiting.
  • Other items (a customer, an offer, a credit note) open on a summary: key figures, a Summary card, one Actions card, and tiles for the rest.

A lock icon means the page isn't on your plan. Opening it explains which plan includes it.

The foot of the menu

The foot of the menu shows you: your picture, name and system role. Select it to open My account, where you'll find Help & guide and Sign out at the top of the page, along with your password, two-factor and devices. Settings › Appearance sets light or dark colours, spacing, text size and whether the menu stays on screen.

Books balanced

The Chart of accounts and Journals pages show Books balanced when every journal balances and the balance sheet ties out. If anything is off they show the difference instead, and a red notice appears at the top of every page until it is put right. How far your books are locked is shown under VAT & tax and in Month-end close.

The top bar

Search

The menu button, at the far left, hides the side menu so the page has the full width, and brings it back. Entirova remembers which you chose. On a phone it opens the menu over the page.

Press / anywhere to jump to the search box. Type at least two characters to search pages, reports, customers, suppliers, contacts, invoices, bills, quotes, sales orders, products, services, offers, employees and accounts.

Saving your work

Entirova saves each change as you make it. If a change can't be saved, a red Not saved message appears with the reason; check your connection and try again. A page with unsaved changes asks before you leave it.

Entity switcher

If you run more than one company, choose which one you are working in. On the Scale plan with more than one active entity you can also pick All entities (consolidated) for combined reports.

Organisation

The round picture at the far right is your organisation's logo (or its initials if it has none). Select it for the organisation menu: Organisation profile, Switch organisation if you belong to more than one, and New organisation.

The dashboard

The dashboard opens with your key figures (cash in bank, revenue, net profit, what you are owed, what is due in 30 days and VAT for the quarter) and a Needs your attention list of approvals, overdue invoices, bills to approve, bank lines, claims, pay runs, leave and accepted quotes to invoice.

Below are charts for revenue and profit, cash with the 13-week forecast, receivables aging, spending, and budget against actual. Select Customise to show, hide or reorder widgets. Your layout is saved for this browser, and Restore default puts it back.

Each figure and widget belongs to an app: cash and bank accounts to Bank accounts, what you are owed to Invoices, what is due to Bills, VAT to VAT & tax, and so on. You only see the ones for apps that are installed. Uninstall an app and its figures leave the dashboard; install it again and they come back.

Saving

A Save button is greyed out until you change something, and goes grey again if you put the change back. So a grey Save means there is nothing to save. Forms that make something new, such as a new invoice, can be saved straight away.

Lists and side panels

In a list, the blue text in a row is what you select to open it. Something that has a page of its own, such as an invoice, a customer or a product, opens that page. Something that doesn't, such as a bank line, a payment, a payment voucher, a stock movement or a job change, opens in a side panel on the right, over the list. The panel shows the rest of the details, links to the documents behind it, and what you can do with it. Close it with Close, the cross or the Esc key, and you are back where you were in the list.

Forms

A form that adds or edits something opens in a window over the page. The fields you fill in most are at the top, two to a row. Less-used fields are in sections below them, such as Address or Contact: select a section's name to open it, and opening one closes the other. When you edit something, the first section that already holds details is open. If a required field in a closed section is empty when you save, that section opens and the field is marked.

Messages and warnings

Warnings and errors always appear at the top of the page, under the title, so you never have to scroll to find out why something can't be done. If your system role can't do an action, Entirova tells you which one can.

Every message uses the same box, and its colour tells you how much it matters:

ColourLevelWhat it meansExample
BlueLowFor your information. How something works, or why it is read-only or not available to you here. Nothing to do.Only drafts can be edited.
AmberMediumNeeds attention, but work goes on. Something is waiting or due, you are about to take a risky step, or the record no longer counts.2 payments waiting for approval. A cancelled invoice.
RedCriticalSomething is wrong or can't be put back: it failed, was rejected, someone is locked out, or the step can't be undone.Sign-in locked after 5 wrong passwords.
GreenDoneFinished, or everything checks out.Reconciled.

Amber and red messages are also counted in the top bar, so you can see from anywhere on the page that something needs you.
