Recurring invoices
Open in the demoTemplates that raise invoices on a schedule, for retainers, subscriptions and rent.
Find them under Sales Recurring.
Set up a template
- Select New recurring invoice. The form is the invoice form: choose the customer, the lines and, if you like, a reference, a delivery address (Ship to), custom fields and the bank account printed on the invoice. Each invoice it raises carries them.
- Choose Monthly, Quarterly or Annually and the day of the month (1 to 28).
- Save and submit. Every new template needs approval before it runs.
Each invoice a template raises is a draft, for you to check and send. Nothing goes to the customer by itself.
Prices are in your base currency. For a customer billed in another currency, each invoice converts at the rate on its invoice date.
Statuses
| Status | Meaning |
|---|---|
| Active | Raising invoices on schedule. |
| ((|Paused)) | Stopped until you select Resume schedule. |
| Awaiting approval | A new template waiting to be approved. |
| Rejected | Not approved. Edit it and submit again. |
Changing a template
Changes to the amount or frequency need approval. Until they are approved the template keeps running on its old terms and shows Change awaiting approval, so customers are never billed an amount nobody signed off.
Running invoices
The list shows Generate due invoices (N) when templates are due. You can also open a template and select Run now to raise the next invoice straight away.
